AI Receptionist Service Agreement

1. The Service

Great Web Services ("GWS") agrees to provide the Client with an AI-powered phone receptionist ("Sofia") that:

Answers inbound calls to a dedicated phone number 24 hours a day, 7 days a week
Engages callers naturally, collects their information, and books appointments
Sends automatic appointment confirmations via email and/or SMS
Logs all calls and bookings in a shared dashboard

Important: Sofia is an AI assistant, not a human. While she is designed to sound natural and handle most conversations correctly, occasional errors or misunderstandings may occur. GWS will work promptly to resolve any issues reported by the Client.

2. Fees

One-time setup fee: $497 USD — due before service activation. Covers configuration, testing, and onboarding. Non-refundable once setup has begun.

Monthly service fee: $497 USD/month — billed on the same date each month. First payment due on the service start date.

3. Cancellation

Either party may cancel this agreement with 30 days written notice sent to teamgws@greatwebservices.com.

Upon cancellation, the dedicated phone number will be deactivated and all call forwarding will stop. No partial refunds are issued for unused days in the final billing month.

4. Uptime & Service Levels

GWS targets approximately 95% uptime for the Sofia service. Scheduled maintenance will be communicated in advance when possible. GWS is not liable for service interruptions caused by third-party providers (Twilio, Google, OpenAI) or circumstances beyond its control.

5. Client Responsibilities

Provide accurate business information (hours, services, booking preferences) during onboarding
Keep payment information current
Notify GWS promptly of any issues or required changes to Sofia's behavior
Not attempt to resell, sublicense, or share the service without written permission

6. Data & Privacy

Call transcripts and lead information are stored securely and used solely to provide and improve the service for the Client. GWS does not sell or share client data with third parties. Call recordings are not retained beyond 90 days unless otherwise agreed.

7. Limitation of Liability

GWS's total liability for any claim related to this agreement shall not exceed the fees paid in the 30 days preceding the claim. GWS is not liable for lost business opportunities, missed appointments, or revenue losses resulting from service errors or downtime.

8. Modifications

GWS may update these terms with 14 days advance notice by email. Continued use of the service after that period constitutes acceptance of the updated terms.

9. Governing Law

This agreement is governed by the laws of the State of New York, USA. Any disputes shall be resolved through good-faith negotiation before any formal proceedings.
